Overview
There are two different ways you can see someone's calendar. First you can 'subscribe' to their calendar, which by default will not show the details of the events on their calendar, but will show 'busy' blocks where they have meetings or other events on their calendar. If you need to see the details of the events, they will have to share the calendar with you specifically or change their settings to allow anyone at Davenport to view their calendar details.
Instructions
Setting your calendar sharing permissions
- Open your calendar and mouse over the specific calendar you want to share on the left side menu
- Click the 3 dot button that appears then click 'Settings and sharing'
- Change the options under the 'Access permissions for events' section. By default, anyone at Davenport can see when you are busy, but no event details. Avoid checking the 'Make available to the public' setting since that allows users outside of Davenport University to view your calendar as well.
Subscribing to someone's calendar
- Open your calendar then click on the + next to 'Other calendars' (you may have to scroll down on the left side of the page to show this)
- Click the 'Subscribe to a calendar' option
- Enter the email address or name of the person and select them (as soon as you click their name, it will appear in your other calendars section)
- If the user has their settings to hide details, you will see a 'Busy' block on your calendar for when they are unavailable. They can also change this to allow details to be shown with the instructions above.
Sharing your calendar with specific people
- Open your calendar and mouse over the specific calendar you want to share on the left side menu
- Click the 3 dot button that appears then click 'Settings and sharing'
- Add people to your calendar under the 'Share with specific people' section. This will allow you to only let specific people see the details of events on your calendar rather than allowing anyone at davenport to see them.
